HubSpot Email Verification: A Practical Workflow That Leaves CRM Fields Unchanged by Default

Who this is for: marketing and sales operations teams who want to check the email addresses on a HubSpot contact list before outreach, without changing CRM records by accident.

The short answer: connect your HubSpot account to FairValid, choose a contact list, preview the selected contacts and check them. FairValid keeps each contact's HubSpot contact ID and list source with the imported row. By default, importing and checking contacts doesn't change HubSpot contact fields. You review the results, and your team decides what to change in HubSpot.

The steps below walk through the workflow and explain how to read each result.

Step 1: Choose the list you need to check

Before you connect anything, pick one HubSpot contact list with a clear purpose, such as a segment you plan to email next week. A focused list is easier to review than your whole database, and it makes credit use easier to plan.

Answer two questions first:

  • What decision will these results inform? For example, "leave out addresses that didn't pass before the campaign."
  • Who will review the less certain results, such as catch-all and unknown?

Step 2: Connect HubSpot and preview the contacts

FairValid's HubSpot import guide describes the flow: connect a HubSpot account, choose a contact list and preview the selected contacts. Use the preview to confirm you picked the right list.

FairValid keeps the contact ID and list source with each imported row. That helps later, because each row stays tied to a specific HubSpot record.

Step 3: Review write-back options before you enable anything

Careful teams shouldn't skip this step. According to the HubSpot guide, importing and checking contacts doesn't change CRM contact fields by default. The connector screen shows which write-back actions, if any, are available before you enable them.

In practice:

  • If you only want to review results, leave write-back actions off.
  • If you're considering an action, first read what the connector screen says about it. Don't assume an update will happen unless the screen shows it.
  • Disconnecting ends future syncs.

Step 4: Plan your credits

Verification spending follows your workspace credit balance and the limits you set for schedules. FairValid's pricing page sets out the basic rules:

  • Every account gets 300 free credits each month.
  • Completed valid and invalid results use one credit each.
  • Unknown results cost nothing.
  • Unused paid credits never expire while your account stays open.

As of October 22, 2026, the pricing page lists monthly plans from 10,000 to 1,000,000 credits, plus one-time top-ups for any whole amount from 2,000 to 1,000,000 credits. All prices are in USD and exclude tax, and the final total is shown before payment. Check the current page before you buy.

On refunds: FairValid doesn't offer discretionary cash refunds for unused credits. The pricing page notes that Stripe may issue refunds within 60 days under its Managed Payments policy, and refunds required by law still apply. Refunds are a separate matter from outcomes that carry no verification charge, which are covered below.

Illustrative example (not real customer data)

Say you import a HubSpot list of 250 contacts. Each completed valid or invalid result uses one credit, so if every address came back valid or invalid, you'd use 250 credits. If you haven't used your monthly free credits elsewhere, they would cover that. Unknown results are free, so any unknowns reduce what you use. Before a larger run, check your workspace balance and any schedule limits you've set.

Step 5: Read each result for what it is

FairValid's results guide describes results as evidence, not a delivery guarantee:

  • Valid: a usable positive check. It never guarantees inbox delivery.
  • Invalid: the address didn't pass.
  • Catch-all: the domain may accept many addresses, so a mailbox-level conclusion may be less certain. Read the detail before you use this result.
  • Unknown: the check couldn't return a dependable answer. Unknown results cost nothing.
  • Still checking: there's no final answer yet. Wait for it rather than treating it as unknown.

Technical failures and unprocessed items are a separate case. The results guide says they don't create a net verification charge. Don't count them as unknown. They simply don't have a dependable result yet.

Step 6: Decide what to change in HubSpot

Each imported row keeps its HubSpot contact ID, so you can match every result to a specific record. One simple approach:

  1. Invalid: consider leaving these out of the upcoming send, or flag them for review under your own CRM process.
  2. Catch-all and unknown: review them with the campaign's risk in mind. You might hold them back from a sensitive send.
  3. Valid: go ahead as planned. Remember that a valid result doesn't promise delivery.
  4. Still checking, technical failures, unprocessed: wait for a final result or contact support before you decide. Don't group these with unknown.

Unless you've deliberately enabled a write-back action shown on the connector screen, any change in HubSpot is one your team makes on purpose, as a separate step.

A quick checklist

  • One focused list with a clear purpose
  • Preview confirmed before checking
  • Write-back options reviewed and left off unless you need them
  • Workspace credits and any schedule limits checked
  • Results read by category, with pending and failed items kept apart from unknown
  • HubSpot changes made deliberately

Try it on a small list first

If you're evaluating this workflow, start with one small HubSpot list and your monthly free credits. You'll see how the results line up with your contact IDs before you commit to a larger cleanup.
